Understanding Knowledge Article Statuses

What are article statuses?

The Article Status is available to help users who manage the Knowledge to understand where an Article is in it's life cycle.  The different Article Statuses available are: 

  • Draft
  • Published
  • Archived


Draft Status

Any Articles in a Draft Status is currently in an editable state. Two types of Draft Statuses exist - 

  • Active Draft
  • Draft

Active Draft

Active Drafts are completely new Articles that have never been Published. Articles in an Active Draft status are not viewable to anyone who doesn't have the Edit Knowledge permission in the Boomtown Platform. 

Draft

Articles that were previously Published can also be moved a Draft state by clicking the Edit button in the bottom-right corner of the Article. Any previously Published Article that is moved to a Draft Status will still show the original Published Article when searching the external Knowledge Library URL or searching Articles within a Case. The previous Article version will only be replaced once the Draft Article has been Published.    


Published Status

Articles in a Published Status are no longer editable within the Knowledge activity in the Boomtown Platform. Opening a Published Article in the Knowledge Activity will provide a view-only look at the Article screens. To move an Article out of the Published Status and into a different Status you'll complete one of the following steps:

  • Click the Edit button in the bottom-right to create an Draft version of the Published Article. This will keep the original Published Article searchable and viewable until the editable version has been Published to overwrite the original version. 
  • Click the drop-down next to Edit and click Unpublish to move the Article back to an Active Draft Status. This will remove the original Published Article from being searchable and viewable until the Article is Published again.  


Archived Status

Articles in an Archived Status are no longer searchable or viewable in the external Knowledge Library URL or within Cases. The Archived Status is used an a previously Published Article is no longer needed. 

To move an Article to an Archived Status:

  1. Ensure the Article is in a Draft or Active Draft Status
  2. Click the drop-down next to the Save button in the bottom-right and click Archive Article

Once an Article has been moved to an Archive Status, it cannot be moved back to a Draft, Active Draft, or Published Status.
